Everything you need to know to get the most out of Planninn. Click a topic in the menu or scroll through the sections.

Calendar

Add, manage and display events

  • Click the + button at the bottom right of the app, or click directly on a day in the month view
  • Enter a title
  • Set the date and start time. Tick All day for all-day events
  • Add participants from your family or team
  • Optionally add a location, description or category
  • Click Save
💡 Tip: Participants see the event in their calendar immediately and receive a notification (if enabled).

When creating or editing an event you find the Invite outside the family/team field:

  • Enter an email address and click Add — it appears as a chip below the field
  • While you type we check live whether the email domain exists (green tick / red cross)
  • Click Save to save the event and send the invitation(s)

What happens next depends on the recipient:

  • Already connected? The person is added as a participant straight away.
  • Existing account, not yet connected? One click to accept.
  • No account yet? That person gets their own free trial account (30 days).
💡 Tip: Once they accept, the guest automatically appears as a participant in the event and sees it in their own calendar — your families are not merged.

Participants take part in the event; Visible to determines who else may see the event. If you leave both empty, the event is visible to the whole family.

External members (from a connected family or team) are marked in the picker with an ext label.

  • In the event, open the category picker
  • Choose + New category at the bottom
  • Give it a name, choose an icon and colour and save
  • The new category is selected immediately for this event
💡 Tip: Every member of the family or team may add categories; they are immediately available to everyone.

When creating or editing an event you open a window with options via the Repeat button:

  • Repeat every 1–99 day(s), week(s), month(s) or year(s) — e.g. every 2 weeks
  • For a weekly repeat you choose on which days (Mon–Sun) the event recurs
  • A monthly or yearly repeat always falls on the same date
  • Optionally set an end date (repeat until) and a time

When editing or deleting a recurring event you can choose: only this event or the whole series.

On a saved, non-recurring event you find the Attachments heading. There you add photos that belong to the event — think of an invitation, a route map or a school letter. This is something most family calendar apps (such as Cozi) do not offer.

  • Open the event and click + Image under Attachments
  • Only images, maximum 12 MB per file
  • Each family or team shares 32 GB of storage; you see the used space when uploading
  • Attachments are visible to admins and the members who may see the event
  • The uploader and admins can delete an attachment again
⚠ Note: Attachments are automatically deleted 24 days after the event and also disappear when you delete the event. So keep important originals yourself — attachments are excluded from our back-ups. Recurring events do not (yet) support attachments.

You can import an external calendar via an iCal link (.ics):

  • In the app go to Settings › Link calendars
  • Click + Add calendar
  • Paste the iCal URL of your external calendar
  • Give the calendar a name and colour
  • The calendar is synchronised automatically (every hour)

Getting the iCal URL:

  • Google Calendar: Settings › [calendar] › Integrate calendar › Secret iCal address
  • Apple Calendar: Share calendar › Show link for use › copy the link
  • Outlook: Calendar settings › Shared calendars › ICS link
⚠ Note: Always use the private link of your calendar, not the public link. The private link contains all your events including details.

Via the Filter panel (top right of the calendar) you can set, per person, iCal calendar or event pack, whether it is visible:

  • Click Filter at the top right of the calendar
  • Uncheck a name or calendar to hide it
  • Your setting is saved — even after reloading the page
  • Hidden calendars are also excluded from your daily and weekly email summary

Event packs add a complete event calendar to your calendar in one click:

  • In the app go to Settings › Event packs
  • Browse the available packs (F1 2026, Eredivisie, Dutch public holidays…)
  • Click Install on a pack
  • The events appear immediately in the calendar of the whole family
💡 Tip: Don't want to see a pack all the time? Hide it via the Filter panel without removing it.

Did you accidentally delete an event? It is not gone straight away:

  • Deleted events are kept for 24 hours in the Trash (including the original participants).
  • A family or team admin opens Manage account › 🗑️ Trash.
  • Click Restore next to the event to put it back.
  • After 24 hours the event is permanently deleted.
💡 Tip: Only admins can restore — so not everyone can undo each other's deletions.

Shopping

Manage shared shopping lists

  • Go to the Shopping tab at the bottom of the app
  • Click + New list
  • Give the list a name (e.g. Weekly groceries or AH Saturday)
  • The list is immediately visible to all family members

Type an item name in the input field and press Enter to add it. Tap an item to tick it off. Ticked-off items are moved to the bottom.

💡 Real-time: Changes are immediately visible to all family members who have the list open — even if you are shopping at the same time.

From a recipe you can automatically add ingredients to a shopping list:

  • Go to Recipes and open a recipe
  • Click Add to shopping list
  • Choose the target list and the number of people
  • The ingredients are added automatically

Tasks & to-dos

Task overviews, deadlines and assignment

  • Go to the To-dos tab at the bottom of the app
  • Click + New list
  • Add tasks with a name and optionally a deadline
  • Assign a task to a family member via the person icon next to the task
💡 Tip: Assigned tasks appear in the daily email summary of the relevant member.

You can link a to-do list to a specific event, e.g. "Prepare for Sinterklaas":

  • Open an event and click Add to-do list
  • Or create a new list and link it to an event when creating it

Recipes

Recipe library and weekly menu planning

  • Go to the Recipes tab at the bottom of the app
  • Click + Add recipe
  • Enter the name, ingredients (with quantities), preparation time and instructions
  • Add a photo (optional)
  • The recipe is immediately available to the whole family

Open a recipe and click Add to shopping list. Set the number of people — the quantities are adjusted automatically. Choose the target list and confirm.

Families & members

Inviting, connecting and managing

  • Click the family logo at the top left of the app to open the family window
  • Click + Invite member
  • Enter the email address of the new member
  • The member receives an invitation email with an activation link
💡 Tip: Does the invitee not have an account yet? Via the invitation link they are directed to the registration page.
⏱ Expires after 12 hours: The family key (and its invitation link) is valid for only 12 hours for security reasons. After that the app automatically generates a new key. So share the key only when the new person signs up soon, or send a new invitation.

With a family connection you can partly see each other's calendars, without becoming members of each other's family. Ideal for grandparents, separated parents or befriended families.

  • Click the family logo at the top left and choose Connect family
  • Enter the email address of an admin of the other family
  • That person receives an invitation and must accept it
  • After acceptance you can view each other's birthdays, events and recipes
💡 Internal vs. external: Internal members have full access (calendar, tasks, shopping). External families only see shared events.

With one account you can create and manage multiple families and teams — for example your family, a sports club and a working group. Each group has its own calendar, task overview and shopping list.

  • Go to Profile › Manage account to switch or create a new family/team
  • Your first family/team is free for 30 days; each extra team is its own subscription (€19.99/year)
  • You can also switch quickly via the family logo at the top left
💡 Tip: You can show events from your second team filtered in your main calendar (Filter › “Other families & teams”), while the rest of your family does not see them.

As a family admin you can promote other members to admin:

  • Open the family window and click a member
  • Choose Make admin or Remove as admin
  • Admins can invite members, remove them and post family announcements

Notifications & email

Push notifications, daily and weekly summaries

Push notifications only work if you have installed the app as a PWA (see Install the app).

  • Make sure you have Planninn as an app on your home screen
  • In the app go to Settings › Notifications
  • Click Enable notifications and grant permission
  • Choose for which events you want to receive a notification

Planninn sends an overview of the day every morning, and a weekly overview on Monday morning.

  • Daily (06:58) — today's events + outstanding tasks
  • Weekly (Monday 08:00) — all events of the coming week

To enable or disable: go to Profile › Email notifications.

💡 Tip: The summary only contains events and tasks from calendars you have not hidden via the filter panel.

As a family admin you can set a scrolling announcement that appears at the top of the app for all family members:

  • Go to the family window and click Set announcement
  • Type your message and optionally set a start and end time
  • Save — the announcement appears immediately for all members

Install the app (PWA)

Planninn as an app on your home screen

  1. Open Planninn in Safari (not Chrome or Firefox)
  2. Tap the Share icon ⇧ at the bottom
  3. Scroll down and tap "Add to Home Screen"
  4. Give the app a name and tap Add
⚠ Note: Push notifications on iOS only work via Safari and require iOS 16.4 or newer.
  1. Open Planninn in Chrome
  2. Tap the three dots ⋮ at the top right
  3. Tap "Add to Home screen" or "Install app"
  4. Confirm with Install

Yes — Planninn stores recent data via the Service Worker. With a poor connection you see the calendar and tasks from the last session. As soon as you are back online, changes are synchronised.

Profile & settings

Name, avatar, theme, time zone and more

Click your avatar at the top right of the app to edit your profile:

  • Name — shown in the calendar and task overviews
  • Avatar — choose an emoji or upload your own photo
  • Colour — your recognisable colour in other people's calendars
  • Birthday — appears automatically in the family calendar
  • Theme — dark, light or a colour theme (BlueOcean, GreenForest, OrangePumpkin, PinkSalmon, SunflowerYellow)
  • Language — Dutch or English (EN-GB); dates and display adapt automatically
  • Time zone — default Europe/Amsterdam; adjust if you live elsewhere

Go to Profile › Security and click Change password. Enter your current password, then your new password (at least 4 characters). After saving you receive a security email for confirmation.

Go to Profile › Email notifications. Here you can enable or disable the daily summary, the weekly summary and other notifications individually.

Go to Profile › Security › Delete account. Your account and all personal data are permanently deleted. Events for which you are the only participant are also deleted; shared events remain visible to other members.

⚠ Note: Deleting your account cannot be undone.

Security

Device security, MFA and sessions

Planninn recognises your device based on your browser and IP address. If you log in from a new device or network, we automatically send a 6-digit verification code to your email address.

Enter the code in the input screen. The code is valid for 10 minutes. After successful verification the device is marked as trusted — next time you do not need to enter a code.

After a successful login from a new device you receive a security notification with two buttons:

  • ✅ Yes, this is me — the device is marked as trusted. You no longer receive a notification for this device.
  • 🔒 No, block my account — your account is blocked for 2 hours and all active sessions are ended. After 2 hours you can log in again.
💡 Tip: Received the notification but don't remember which device it was? Click Block to be safe.

A temporary block lasts 2 hours and is then automatically lifted. You can simply log in again afterwards.

Is your account permanently blocked by an admin? Then contact the admin of your family or team.

  1. Go to the login page
  2. Click Forgot password?
  3. Enter your email address
  4. You receive an email with a reset link (valid for 1 hour)
  5. Click the link and set a new password
